This Privacy Notice explains how Woven Operations Partners Limited (“Woven”, “we”, “us”) handles personal information when you use woven-revops.com, buy Woven Desk products or setup services, create or use a customer account, join a Woven email list, contact us, or otherwise interact with us through the site.

Who we are

Information we collect

Depending on how you use Woven, we may collect:

  • Identity and contact information, such as your name, email address, phone number and billing details.
  • Order and transaction information, including what you buy, order status, refunds and purchase history.
  • Payment-related information. Payments are processed through Shopify and its payment providers. We do not need to receive or store your full payment-card number in order to run the store.
  • Account information if you use a Shopify customer account.
  • Messages and support information you send through our contact form, email or other Woven support channels.
  • Marketing preferences, including whether you subscribed, unsubscribed or asked us to change the type of Woven emails you receive.
  • Technical and usage information, such as IP address, device/browser information, store interactions and information collected through cookies and similar technologies.

Where information comes from

We collect information directly from you, automatically when you use the website, and from service providers that help us operate the store. If you interact with Woven in a business capacity, we may also receive ordinary professional contact information from publicly available business sources or referrals where it is lawful and reasonable to do so.

Why we use your information

We use personal information only where we have a lawful basis. Our main purposes and bases are:

  • To fulfil purchases and provide services — including taking payment, delivering digital products, providing setup help, managing accounts, handling support, refunds and service messages. Our lawful basis is usually performance of a contract or steps taken at your request before entering a contract.
  • To run and secure Woven — including fraud prevention, troubleshooting, record keeping, improving the website and protecting our systems. We rely on legitimate interests where appropriate, balanced against your rights.
  • To meet legal obligations — including tax, accounting, consumer-protection and regulatory requirements.
  • To send marketing — where you have consented, or where another lawful route such as the electronic-mail soft opt-in is available and used lawfully. You can opt out at any time.

Who we share information with

We share personal information only where needed for the purposes above. Recipients may include:

  • Shopify, which hosts and operates the ecommerce platform and related customer-account, messaging, analytics and digital-product functionality;
  • payment providers used through Shopify;
  • email, cloud, customer-support and technical service providers we use to operate Woven;
  • professional advisers, insurers, auditors or authorities where necessary; and
  • a buyer, investor or successor if Woven is involved in a genuine corporate transaction, subject to appropriate safeguards.

We do not sell personal information for money.

International transfers

Some service providers may process information outside the United Kingdom. Where UK data-protection law requires safeguards, we rely on an adequacy regulation or appropriate contractual safeguards such as the UK International Data Transfer Agreement, the UK Addendum to approved standard contractual clauses, or another lawful transfer mechanism.

How long we keep information

We keep personal information only for as long as reasonably necessary for the purpose for which it was collected. Order and accounting records may be kept for the period needed to meet tax, accounting, legal and dispute-resolution obligations. Support records are kept for as long as they are useful for resolving or documenting the issue. Marketing records are kept while you remain subscribed, together with enough suppression information to respect an opt-out. Cookie/consent records are kept as needed to demonstrate and respect your choices.

Your rights

Depending on the circumstances, UK data-protection law may give you rights to access your information, correct it, ask for deletion, restrict processing, object to processing, receive certain information in a portable form, and withdraw consent where we rely on consent. You have an absolute right to object to the use of your personal information for direct marketing.

Marketing choices

You can use the unsubscribe link in a Woven marketing email or visit our Email Preferences page. Opting out of marketing does not stop essential order, product-delivery, account or support messages.

We and Shopify use cookies and similar technologies to operate the store. Where consent is required for non-essential cookies, those technologies should be used in line with your consent choices. See the Cookie Notice for more detail.

Automated decisions

We do not use store/customer data to make solely automated decisions that produce legal or similarly significant effects on you.

Children

Woven is not designed as a service for children. If you believe a child has provided personal information to us inappropriately, contact us so we can review it.

Security

We use reasonable technical and organisational measures to protect personal information. No internet service can guarantee absolute security, so please avoid sending passwords, payment-card details or other highly sensitive credentials through ordinary email or contact forms.
